Askham Bryan, located close to York city centre offer a variety of practical courses across a number of qualification levels. Their bedroom stock is offered to students both under and over the age of 18 and can be booked for a full 34 weeks, as well as ‘casual lets’ for shorter stays, and needed a system that can not only manage their requirements but offer a seamless journey and improve their customer experience. And, since the implementation of KxWelcome, Askham Bryan have the ability to do just that.

KxWelcome has provided Askham Bryan with the capability to bring their whole process in one place, from a web-based student portal to interdepartmental access, the team now has a comprehensive record of all information sent out to each student and the ability to quickly amend and change their process when needed to make sure their approach remains agile and can always focus on the student experience.

Having a system that can greatly improve customer experience was top on the priority list for Askham Bryan and since the adoption of KxWelcome, they have noticed a significant difference in the number of calls into the office from students with questions and problems about completing their applications. KxWelcome’s simple to use web-based portal allows students to complete their application, sign contracts, and make payments through a simple step-by-step process, and as it’s mobile responsive, this means students can do so on any device.

It’s not just the pre-arrival process KxWelcome was able to improve, it greatly improved enhanced the efficiency of their arrival day too. Through the student portal, Askham Bryan were able to deliver their induction information to students to complete prior to them arriving – upon completion students were then asked to confirm their preferred arrival day and time and also issued with a barcode so that when arriving on campus they could automatically check-in, a vast improvement on their previous process that has helped provide a sleeker and more professional process that helped to smooth out times of peak demand.

Improving internal efficiencies

It's not just the student experience that was top of the priority list for Askham Bryan. Their staff experience was hugely important to. From marketing and sales processing, through to invoicing and financing, to management and inventory - KxWelcome has provided a solution that can be used by various departments across their site to create one place to find all the information needed for their residential provisions without unnecessarily increasing the workload.

Previously, this process could become quite difficult – information was stored on spreadsheets which often posed the risk of it being lost or misplaced. However, now KxWelcome provides a centralised location for all of this to be stored, and any sensitive student information is protected as thanks to the granular permission set within the system ensuring only relevant members of staff can access this information.
